Terms and Conditions (Tour guide service)
THE FOLLOWING TERMS apply to any person or organisation (hereafter referred to as 'the client/'you/your') engaging Island Explorer (hereafter referred to as 'we/us/our') in providing a tour guide and/or itinerary to perform a guided tour of the Isle or Wight.
BOOKINGS are only valid following a deposit payment of £50.00 per tour has been made. We will commence work on your tour(s) at that point. Ideally we require at least 21 working days prior to the date of your tour(s) to compile your itinerary(s) and make any necessary arrangements on your behalf. A copy of our DVD ‘Around The Island Tour’ will be sent to your address (or to a UK address you specify) which is included in the package. Please note: The DVD is in PAL standard UK format so may not be compatible in certain country’s DVD players. All cleared outstanding monies are payable no later than 7 working days prior to your tour unless agreed otherwise.
YOUR DEPOSIT (and any other monies paid) is only refundable if Island Explorer (hereafter referred to as we/us) is unable to fulfil our obligation to you due to unforeseen and exceptional circumstances (i.e. if our guide becomes unavailable for whatever reason and we are unable to provide a replacement). However, every effort will be made to remedy such an unlikely occurrence. Our liability will be limited in providing a full refund of monies paid in the aforementioned circumstances.
TARIFF as stated on your invoice or in any quotation made by us will be bonding upon confirmation by you. However, we reserve the right to administer additional charges should our guide be engaged for a longer duration than contracted for. Additional time will normally be charged at a rate of £25 per hour (or part of). We would consider that an additional 45 minutes above the contracted duration would be reasonable to incur the additional charge(s) HOWEVER we would be prepared to be flexible depending on the circumstances. Additional charges may also apply if our guide should incur any expenses during the course of his/her duties which we were not able to foresee or not made aware of for what ever reason. No additional charges will be imposed on the client if any or the afore-mentioned circumstances were attributed or caused by us or our staff.
REFUNDS will not be given if the tour is cancelled due to the following; The guide considers that the client vehicle is in a unsafe condition or there is no adequate seat to accommodate him/her– the party (or any member thereof) are behaving in an inappropriate manner – any other circumstances not attributed or caused by us or any member of our staff (certain circumstances such as poor weather conditions ect will be considered where at least a partial refund may be made).
CANCELLATIONS where a booking is cancelled with 7 days notice or less, then 50% of our fee is payable; where the cancellation occurs with 48 hours or less notice, or immediately prior to the tour, then the full fee is payable. Refund amounts of cancellations of more than 7 days notice will be dependent on what administration work has already been completed.
DISCLAIMER We cannot be responsible for any itinerary we have produced which is affected by road closures, suggested locations being inaccessible or closed, any attraction which fails to honour any arrangement made between us and that attraction on behalf of the client or any other circumstances beyond the control or remit of Island Explorer.
Our guide will require the use of the vehicle’s P.A. system with access to an appropriate microphone.
By providing confirmation and paying the deposit, you agree to the above terms and conditions.
